A trademark application runs smoothly only if the file is complete. Missing or incorrect documents can delay the process. This article gathers the documents required for trademark registration for both individual and company applications.
Core Information Required for Every Application
- Applicant details: Name/company name, address and contact information.
- Representation of the mark: A clear image of the sign to be registered. It may be a word mark, a figurative (logo) mark or a combination. If you are filing a colour logo, a colour image is submitted.
- List of goods and services: The products and services for which protection is sought and the Nice classes they belong to. For class selection, see our class guide.
- Proof that the filing fee has been paid.
Individual (Natural Person) Applications
If you are applying as an individual or a sole proprietorship, the following is generally sufficient:
- National ID number and identity details
- Contact and address information
- The mark representation and class list
Sole proprietorships can register trademarks, and it is even possible to apply as a natural person without forming a company at all. We cover this in more detail in Registering a Trademark Without a Company.
Company (Legal Entity) Applications
For limited companies, joint stock companies and other legal entities, the following are typically required in addition:
- Company name and tax number
- Trade registry details
- Details of the authorised signatory
Filing Through an Attorney: Power of Attorney
If you file through a trademark attorney, a power of attorney is needed for them to represent you. For most procedures this can be issued without notarisation; your attorney will send you the appropriate form. Working with an attorney ensures the file is prepared professionally and the process is monitored.
Points to Watch When Preparing Documents
- Make sure the image of the mark is clear and high resolution.
- If you file a word + logo mark but plan to use the word alone with a different design later, decide your strategy at the outset.
- Keep the goods/services list neither too narrow nor too broad; optimise the scope to your business.
- Check that applicant details match official records exactly.
